Preferred Name
NLU recognizes that members of our community may use names other than their legal names to identify themselves. Consistent with our commitment to inclusivity and the Illinois Human Rights Act, which protects against discrimination based on gender identity, the University provides a process for students and employees to designate a "Preferred First Name." We do not support preferred middle names and preferred last names.
POLICY
Permissible Use of Preferred Name
Individuals may choose a preferred first name for various reasons, including but not limited to:
- Reflecting gender identity;
- Using an abbreviated name or nickname (e.g., "Rob" for "Robert");
- Using a middle name instead of a first name;
- Representing an Americanized or different ethnic name;
- A name they are in the process of legally changing.
Systems and Display
Except where a legal name is required by law or university business needs, the preferred first name will be displayed in the following internal systems:
- Learning Management Systems (e.g., D2L, Acorn).
- Online Directories and Class Rosters.
- University Identification Cards (at the user's request).
- Unofficial transcripts and degree audits.
- Alumni and donor systems.
Required Use of Legal Name
Legal names will remain in use for external systems and official records where required by law or government regulation, including:
- Financial Aid and FAFSA documentation;
- Official Transcripts and Diplomas (unless a legal name change is finalized);
- Human Resources and Payroll records (e.g., I-9, W-2);
- Professional licensure records;
- Health insurance and medical records.
Process for Designation
Students and employees may update their preferred first name through the NLU Portal without being required to provide documentation.
Standards of Conduct
The University reserves the right to deny or remove a preferred name if it is used for the purpose of misrepresentation, contains offensive or profane language, or otherwise violates the University Code of Conduct policy. Misuse of this policy may result in disciplinary action.
Compliance and Non-Discrimination
Refusal to use a person’s preferred name or pronouns in a manner that creates a hostile environment may be considered a violation of the Illinois Human Rights Act and the University’s EEO and Anti-Harassment Policy.
